Premier Sensory Solutions – Cancellation & Attendance Policy

At Premier Sensory Solutions, we work hard to ensure timely access to occupational therapy, sensory services, and educational supports. Due to high demand, unused appointments significantly impact other clients waiting for services. This policy outlines how cancellations, non-attendance, and payments are managed to ensure fairness and continuity of care.

 

1. Cancelling or Rescheduling an Appointment

We understand that routines change and unexpected things happen. We want to be flexible where possible but we also need to be realistic to ensure all clients receive regular, meaningful intervention.

Rescheduling Policy

  • Clients may reschedule up to 2 appointments within a therapy block without any charge, provided at least 48 hours' notice is given.

  • Because our interventions are booked in blocks rather than week-to-week, any additional rescheduling after these 2 sessions will be charged at the full session rate, regardless of notice provided.

  • This protects the integrity of the intervention block and ensures continuity of therapeutic progress.

2. Group Sessions – Cancellation & Non-Attendance

For group programmes:

Group sessions must be paid for in advance.

  • Non-attendance or cancellation within 24 hours is charged at the full group session rate.

  • Missed group sessions cannot be refunded, credited, or transferred, as staffing and preparation costs remain the same regardless of attendance.

 

3. Late Arrivals

  • Please arrive a few minutes before your session.

  • If you are late, the session will still end at the scheduled time.

  • The full fee applies for late arrivals.

 

4. Repeated Cancellations or Non-Attendance

Therapy relies on consistent attendance.
If two or more appointments are missed or cancelled, your therapist may:

  • Review engagement with the service

  • Discuss any barriers to attendance

  • Pause therapy until regular attendance can be achieved

This ensures equitable use of limited therapy spaces.

 

5. Outstanding Fees

To ensure fairness and sustainability:

  • Future appointments—including intervention blocks and 1:1 sessions—cannot be confirmed or scheduled if there are outstanding fees on your account.

  • Payment must be made in full before booking additional sessions or continuing any intervention programme.

 

6. Intervention Reports

Intervention reports (e.g., sensory profiles, progress reports, recommendations for school or services) will only be issued when:

  • All session fees have been paid in full, and

  • Any outstanding balances—including cancellation fees—have been cleared.

This ensures appropriate administrative time and resources are accounted for.

 

7. Service Cancellations

In the rare event that Premier Sensory Solutions must cancel a session (due to illness, emergencies, or unforeseen circumstances):

  • You will be contacted as early as possible

  • No cancellation fee applies

  • A rescheduled appointment will be offered

 

8. Payment for Appointments

  • All sessions must be paid in advance.

  • Payment links and invoices can be provided if needed.

  • If you have difficulty with payment, please contact info@premiersensorysolutions.ie to discuss options.

 

9. Confidentiality

Your information is confidential and will not be shared without your consent, unless required for safety reasons. Any such concerns will be discussed with you first.

 

10. Feedback

We welcome feedback and aim for a caring, accessible, neurodiversity-affirming service. Concerns can be raised at any time so they can be addressed promptly.
